Position Summary:

Responsible for providing administrative and office support activities for the President of Navvis.  In this highly visible role, the Executive Assistant must be highly collaborative in working with firm executives, consultants, and Navvis team members.

Position Responsibilities: Temporary contract role lasting an estimated 12 weeks, possibly longer as business needs arise.

  • Very high volume of coordinating travel accomodations (airlines, hotels, ground transportation).
  • Extensive calendar scheduling using Microsoft Outlook.  To include meetings, conference calls, work sessions, etc.
  • Ability to be flexible with potential after hours work to support urgent needs as they arise.
  • Arranges and coordinates internal meetings and events.
  • Assist with business expenses and travel receipts.  Prepare expense reports and file for reimbursement.
  • Assures timely and accurate communications with clients regarding meetings, schedules and other project logistics; receives telephone, email and mail inquiries.
  • Prepares or edits Powerpoint presentations - printing and binding.
  • Establishes and maintains electronic and hardcopy files.
  • Maintains open, effective communications with Navvis team members in the local office and across the organization.
  • Handles confidential matters with external and internal stakeholders.
  • Works independently, and as a part of the team.
  • Multi-tasks effectively to manage projects and day to day issues, as they arise.
  • Other duties as needed.

Preferred Qualifications:

  • 5+ years of Executive Administrative experience.
  • Experience scheduling and managing a high volume of travel.
  • Skilled in exercising a high degree of initiative, professionalism, independent judgement and discretion.
  • Flexibility and ability to effectively adapt to change.
  • Ability to work under tight deadlines and handle confidential material.
  • High level of proficiency in Microsoft Office programs, especially Outlook Scheduling and Powerpoint.
  • Ability to meet deadlines, prioritize, organize and multi-task successfully.
  • Excellent verbal/written communication skills, organization skills and attention to detail.
  • Ability to produce high quality, error free documents, excellent proofreading and editing skills.
  • Strong critical thinking and problem resolution skills.
  • Ability to work effectively as an independent contributor, and also as a team.
  • Committment to quality, continuous improvement and exellent customer service.
  • Experience in organizing events, meetings and conferences.
  • Poise and professionalism in interactions with others.


  • High School Diploma.
  • Bachelors Degree a plus.
